This notice explains how Toolcabinbase handles personal information collected through toolcabinbase.click and through readout work. It should be read with the cookie note.
Data controller

When we read exports from an employee experience app, your organisation remains the controller of those records. We act on your instructions for the named engagement and do not use those records to market the practice.
What we collect from the website
The contact form asks for name, email, optional readout type, optional app name, and a message. The host may also keep technical logs such as IP address, browser type, and pages requested, for security and fault-finding. If you accept analytics cookies, we may also see which pages were opened; if you reject them, the site still works.
What we collect during a readout
For a confirmed engagement we keep the names and work emails of your nominated contacts, session dates, invoices, and copies of the briefing we wrote. App exports and comment samples stay only as long as the engagement needs them, then are deleted or returned according to the confirmation letter.
We do not ask for national identification numbers, medical files, or payroll on this site, and we will refuse them if they arrive unsolicited.
Why we use the information
We reply to enquiries, perform the named work, issue invoices, keep records required under Malaysian tax and company rules, and improve the clarity of this website. The legal bases we rely on are your request for a step prior to a contract, performance of a contract, legitimate interests in running a small practice, and legal obligation where a statute requires a record.
Retention
Unsuccessful enquiries are kept for up to twelve months. Contracts, invoices, and briefing copies are kept for seven years unless a longer period is required by law. App exports used as working files are removed within thirty days after the follow-up conversation, unless you ask us in writing to hold them for a stated audit.
Your rights
Subject to Malaysian personal data law, you may ask to access, correct, or limit use of personal information we hold as controller, and you may withdraw consent where consent was the basis. Write to info@toolcabinbase.click. You may also complain to the relevant Malaysian authority for personal data.
International transfers
Our office and ordinary files are in Malaysia. Email or hosting providers may process a copy outside Malaysia. Where that happens we use providers who offer a written contract and a level of care we consider adequate for enquiry and client correspondence. Employee experience app exports are not sent to a new country without your written say-so in the confirmation.
Sharing
We share information with the host of this website, our email and accounting providers, and professional advisers when required. We do not sell lists. We may disclose information if a Malaysian court or regulator requires it.
Children
The site and the work are for organisations and their adult staff. We do not knowingly collect information from children.
